This privacy notice explains how BureauFix ("we", "us", "our") handles personal information. We are committed to protecting personal information in accordance with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial private-sector privacy legislation in Canada.

1. Who we are
BureauFix is a Canadian-incorporated receivables acquisition company with its registered office at 2900 — 10180 101 Street NW, Edmonton, Alberta T5J 3V5 (Alberta Corporate Access Number 2025518172; Business Number 786020958). For the purposes of PIPEDA, BureauFix is the organisation responsible for personal information it holds.
2. Personal information we hold
Depending on your relationship with us, we may hold personal information including:
- Identifying information (e.g. name, date of birth, government-issued identifiers where lawfully required)
- Contact information (mailing address, telephone, email)
- Account information transferred to us by an originator (account number, balance, payment history, prior contact information)
- Records of communication between you and us or our regulated operating partners
- Information needed to handle complaints, disputes and regulatory matters
- Website usage information (see our cookies notice)
3. How we use personal information
We use personal information for purposes that include:
- Managing and resolving accounts that have been transferred to us
- Communicating with customers about their accounts
- Operating our business and maintaining accurate records
- Complying with applicable laws, regulatory expectations, and our internal governance framework
- Identifying consumers in vulnerable circumstances and adjusting how their accounts are managed accordingly
- Investigating and responding to complaints and disputes
4. How we share personal information
We share personal information only where it is necessary for the purposes set out above and only with parties bound by appropriate confidentiality and data-protection commitments. This may include:
- Our licensed Canadian operating partners, who engage with customers on accounts we own
- Professional advisers (legal, audit, compliance)
- Service providers supporting our technology, communications and security infrastructure
- Government, regulatory or law-enforcement bodies where required or permitted by law
We do not sell personal information.
5. How we protect personal information
We maintain physical, organisational and technical safeguards designed to protect personal information against loss, theft, unauthorised access, disclosure, copying, use or modification. Access to personal information is restricted to authorised individuals on a need-to-know basis, and we conduct ongoing monitoring of our information-security posture.
6. Retention
We retain personal information only for as long as necessary to fulfil the purposes for which it was collected and to meet legal, regulatory and accounting obligations. When personal information is no longer needed, we securely destroy or anonymise it.
7. Your rights
Subject to legal and regulatory limitations, you have the right to access the personal information we hold about you and to request its correction. You may also withdraw consent in defined circumstances. To exercise these rights, please contact our Privacy Office (details below). We will respond within the timeframes set out in PIPEDA and applicable provincial law.
8. Complaints
If you have a concern about how we have handled personal information, please contact our Privacy Office in writing. We will acknowledge your complaint within five business days and respond substantively within 30 days. You also have the right to refer a complaint to the Office of the Privacy Commissioner of Canada or the relevant provincial privacy regulator.
